A typical single-day family reunion runs from about 10 AM to 9 PM: arrival and check-in, welcome remarks, family photo, icebreakers, lunch, open activity time, organized games, an awards ceremony, dinner, and closing. The key is to leave buffer time between activities — things always run longer than planned.
Start with arrival buffer (30 minutes), then structured welcome activities, the family photo (before food while everyone looks fresh), lunch, afternoon activities, awards or recognition, dinner, and entertainment or music. Put the family photo before lunch, not after — people are more energetic and presentable early in the day.
Work backward from your venue's end time. Block out mealtimes first (they anchor the schedule). Then place your featured activities in the afternoon. Add a 30-minute arrival buffer at the start and a 30-minute closing buffer at the end. Assign each block a responsible person or committee so nothing falls through the cracks on the day.
