Start by listing every category of expense: venue, food and beverages, activities, printed materials, apparel, and miscellaneous. For each item, write an estimated cost before the reunion, then track actual costs afterward. Divide your total estimated cost by the number of attending adults to calculate per-person cost. Add a 10% contingency buffer for surprises.
